Contact List Excel Template with a Change Log
This contact list template for Excel includes a Contacts sheet and a Change log sheet. Use the first to maintain the current directory and the second to record proposed corrections without silently overwriting the original information.
Download the List to Data contact review template. Both sheets contain a yellow demonstration row. Delete those example rows before entering your own records.
Start with the current contact record
The Contacts sheet includes Record ID, Full name, Organization, Email, Phone original, Country, Relationship, Owner, Source reference, Last confirmed, Review state, and Notes.
Give each contact a stable Record ID. Keep the organization separate from the person’s name. Use Relationship to describe your own account relationship and Review state to describe whether the details need attention.
Use the change log when information is disputed
| Change-log field | What to record |
|---|---|
| Record ID and field | The contact and the exact detail being reviewed. |
| Original and proposed values | What would change if the correction is accepted. |
| Evidence reference | Where the reviewer can find supporting information. |
| Decision and reviewer | Whether the proposal is pending, approved, or rejected. |
| Decision date and reason | When the decision was made and why. |
The sheets do not update each other automatically. After approving a correction, update the current record and retain the log entry. A rejected proposal can remain in the log so another colleague does not repeat the same investigation.
Protect identifiers and phone values
The workbook prepares the designated identifier fields and Phone original column as text through row 51. Check the formatting when adding more rows or inserting fields. Dates should be entered consistently as dates so sorting works as intended.
Excel may alter number-like values when it chooses a numeric type. Read Microsoft’s explanation of leading zeros and large numbers before importing a CSV. Text formatting cannot restore digits that were already removed.
Choose the right template for the job
This workbook is designed for maintaining a directory and its corrections. It does not send messages, validate addresses, enforce access permissions, or automatically synchronize records.
DB TO DATA’s Excel setup article explains basic table structure. If you need separate client and staff layouts, Latest Mailing Database’s template article describes a different workbook for those tasks.
Make a separate export copy
Share only the necessary contacts and columns. Keep reviewer notes and internal evidence references out of a general directory export when the receiving team does not need them. Store the maintained workbook in an approved shared location rather than circulating multiple editable copies.
For new audience-data requirements, review List to Data’s email-data options separately from the maintenance template.
