Client List Review: Active, Inactive, and Archived Accounts

A client list needs a review process as relationships change. Some accounts remain active, some have no current work, and others should leave the everyday directory while their required history is retained.

List to Data recommends defining those conditions before applying labels in bulk. Inactive can mean different things to sales, billing, and support; an unexplained status creates inconsistent reports.

Define status using evidence your team can check

An ongoing service agreement may identify an active client in one business. Another business may use a completed order within a defined period. Choose a rule that fits your operation and identify the source used to check it.

Possible status Meaning to define What it does not establish
Active A documented current relationship under your rule. Permission for every kind of communication.
Inactive No current work under the chosen criteria. A request to delete all historical records.
Archived Removed from the normal working view. An automatic decision about legal retention obligations.

Review accounts separately from contact people

A client company can remain active after its purchasing contact leaves. Do not archive the entire account because one email address no longer works. Review the person’s association and identify the current account contact through your approved process.

Likewise, one person can represent several client accounts. Keep the association clear rather than copying every account’s activity into a single person record.

Prepare the review in Excel

Filter the client list by the status being reviewed and keep the relevant account ID visible. Record the evidence behind proposed changes. Use a review owner and a decision date so a colleague can distinguish a pending suggestion from an approved update.

A customer list in Excel should preserve the same account references after sorting. Avoid making row numbers the permanent identifier or deleting rows before their linked records have been considered.

Make reactivation a deliberate action

If a former client places a new order, reconnect the new activity to the correct existing account after checking the match. Review the current contact channels and restrictions instead of restoring every old detail automatically.

Consider whether outstanding disputes or service notes need attention before assigning the account to a new owner. Keep sensitive history in the system intended for it rather than copying it into a general client directory.

Use a directory and a task list for different purposes

This review process determines which records remain in the working view. If you are researching new prospects instead, describe that audience to List to Data and keep prospect records distinct from established clients.
